Refunds and cancellations
These rules apply to classroom seats at Module Mapcore: the three-day intensive, the foundation weekend, one-to-one chart reviews, and the Tuesday practice circle. They do not describe shop goods or posted merchandise, because we do not sell those.
Eligibility
Refunds are available only for fees paid to Module Mapcore for a named session. Enquiries that never became a confirmed seat have nothing to refund. Bank transfer fees charged by your bank are not returned.
Timeframe
Write to hello@module-mapcore.digital as soon as you know you cannot attend. The calculation uses the date we receive the email, not the date you intended to send it. We aim to process an agreed refund within fourteen working days after we confirm the amount in writing.
Intensive and foundation weekend
A deposit holds the seat (THB 5,000 for the intensive, THB 2,000 for the foundation). If you cancel fourteen or more days before Day 1 (or Saturday of the foundation), the deposit is returned in full and any balance already paid is returned in full. If you cancel between thirteen and seven days before, the deposit is kept as a cancellation fee; any balance already paid above the deposit is returned. If you cancel with fewer than seven days’ notice, or you do not arrive, the deposit is kept. The remaining fee, if already paid, is returned except for THB 1,500 toward printed worksheets already prepared with your name on the pack.
If you attend Day 1 (or Saturday) and leave early, that is work already started. No refund is given for unused hours, lunches not taken, or a follow-up appointment you then decline. The follow-up that belongs to the intensive is included only if you sat the three days; it is not a cash alternative.
Chart reviews
Reviews are paid when the time is confirmed. Cancel twenty-four hours or more before the appointment for a full refund. Cancel with less than twenty-four hours’ notice, or miss the appointment, and the fee is kept. If you arrive without printouts and we cannot usefully sit the ninety minutes, we may end the session; the fee is then treated as a no-show unless we agree a new time in the same week.
Tuesday practice circle
The THB 1,800 fee covers four evenings. It is not reduced if you miss a Tuesday, and missed evenings are not recorded. Cancel before the first Tuesday and the fee is returned. After the first Tuesday has begun, the month’s fee is non-refundable. A new month is a new fee if you continue.
When we move or cancel a date
If fewer than four people confirm an intensive, we move the dates rather than run an empty room at the group fee. You may take the new dates or receive a full refund of deposit and any balance paid. If we cancel because of instructor illness or a building problem, you may move to the next comparable session or receive a full refund. We do not pay hotel or train costs except where we cancelled with less than forty-eight hours’ notice, in which case we will consider documented local travel up to THB 1,000 on a case-by-case basis.
Rescheduling
You may ask once to move a confirmed intensive or foundation seat to a later published date, if that date still has room and you ask at least fourteen days ahead. The deposit travels with the seat. A second move is treated as a cancellation under the notice rules above. Chart reviews may be moved once if you ask at least twenty-four hours ahead.
Deposits
Deposits are part of the session fee, not a separate product. They are refundable only as described in this page. They are not a credit for journal printouts or for someone else’s seat unless we agree in writing.
No-shows
If you do not attend and do not write, the deposit (or the review fee) is kept. We will still reply if you write the same day with a serious reason (hospital admission, for example); we may then offer a move instead of a cash refund.
Materials
Worksheets prepared for your seat are not sold separately and are not refunded as goods. If you cancel early enough that we have not printed a named pack, no materials charge applies. After printing, the THB 1,500 materials retention described for late intensive cancellation applies.
Refund method
Refunds go back by the same bank transfer route you used, unless we agree another Thai bank account in your name. We do not refund in cash at the classroom and we do not refund to a third party’s account.
